Website Enquiries and Consultation Requests
When you submit a Contact form or Request a Consultation form, we use the information you provide to review and respond to your enquiry.
This may include:
- acknowledging receipt of your enquiry
- contacting you for additional information
- arranging a consultation
- following up about your project
- preparing or discussing a quotation
Information submitted through our forms may be stored within our customer relationship management system so that our team can manage the enquiry effectively. Submitting an enquiry does not automatically subscribe you to general marketing communications.
Automated Confirmations and Follow-Up
We may use automated systems to assist with customer communications. This can include:
- enquiry confirmation emails
- enquiry-related follow-up
- consultation confirmations
- appointment reminders
- service-related notifications
These communications are used to help us manage the enquiry or customer relationship efficiently. The use of automation does not mean that an enquiry is automatically added to a general marketing campaign.
Telephone Calls and Missed-Call Text Back
If you call Westscapes and we are unable to answer, we may use the telephone number associated with your call to send an automated text message acknowledging the missed call.
For example, this may allow us to let you know that your call was missed and give you an opportunity to continue your enquiry by text. These messages are intended to respond to a contact that you initiated.
We do not use a missed inbound call alone as permission to add you to general promotional SMS campaigns.
SMS Communications and ClickSend
Westscapes may use SMS for service-related communications such as:
- missed-call acknowledgements
- consultation or appointment confirmations
- appointment reminders
- changes to an appointment
- relevant customer service messages
- customer feedback or review requests
We currently use ClickSend as a communications service provider for certain SMS messages. Where ClickSend processes personal information on our behalf, information such as your name, telephone number and message-related information may be processed as necessary to deliver the SMS. ClickSend acts as a service provider (processor) for this purpose and does not use your information for its own marketing purposes.
Customer Relationship Management and Service Providers
We use third-party technology providers to help us manage enquiries, customer records, communications, website functionality and business operations. These may include providers of:
- Customer relationship management software
- Website hosting and website functionality
- Email communications
- SMS delivery
- Appointment management
- Analytics
- Data storage
- IT and security services
These providers may process personal information on our behalf only where necessary to provide their services. Where appropriate, contractual and data protection safeguards are used. Our customer relationship management platform may process and store contact, enquiry, appointment and communication information on our behalf.
Appointment Reminders
If you arrange a consultation or appointment with Westscapes, we may send email or SMS reminders relating to that appointment. These reminders may include:
- appointment date
- appointment time
- confirmation information
- instructions for changing or cancelling the appointment
Appointment reminders are service communications and are kept separate from general promotional marketing.
Feedback and Review Requests
After providing a service or completing a project, we may contact customers to ask for feedback about their experience or invite them to leave a review. These messages are intended to obtain feedback about services already provided.
A review request will not be used as a way of automatically subscribing a customer to unrelated marketing communications. Where a message contains promotional or marketing content, the appropriate marketing rules will apply.
Marketing Communications
We keep general marketing communications separate from communications relating to an enquiry, appointment or service. Where you actively choose to receive marketing from Westscapes, we may send information such as:
- Garden inspiration
- News
- Seasonal information
- Service updates
- Offers
- Promotional email
- Promotional SMS
Where consent is relied upon, the marketing option is optional, clearly explained, separate from the ability to submit an enquiry, and not pre-selected. You can unsubscribe or withdraw your marketing consent at any time. Withdrawing marketing consent will not prevent us from sending communications that are necessary to respond to an active enquiry, manage an appointment or provide a service.
Recording your communication preferences
Where you make a marketing choice, we may record information such as the preference selected, the date and time, the form or source through which the preference was provided, and subsequent unsubscribe or withdrawal requests. We use this information to respect your communication preferences and maintain appropriate records.
International Data Transfers
Some technology providers used by Westscapes may process or store information outside Ireland or the European Economic Area. Where personal information is transferred internationally, appropriate safeguards are used where required by law, which may include mechanisms recognised under applicable data protection legislation.
How Long We Keep Your Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet relevant legal, accounting and business requirements.
Retention periods may vary depending on whether the information relates to an enquiry, a quotation, an appointment, a customer project, financial records, marketing preferences or legal obligations. When personal information is no longer required, it is securely deleted or anonymised where appropriate.
Keeping Your Information Secure
We take reasonable organisational and technical measures to protect personal information against loss, unauthorised access, misuse, alteration, disclosure and destruction. However, no internet-based system can be guaranteed to be completely secure.
Your Data Protection Rights
Depending on the circumstances, you may have rights including:
- The right to be informed
- The right to access your personal information
- The right to correct inaccurate information
- The right to request deletion in certain circumstances
- The right to restrict processing in certain circumstances
- The right to object to certain processing
- The right to data portability where applicable
- The right to withdraw consent where processing relies on consent
- Rights relating to certain forms of automated decision-making where applicable
These rights are not absolute and may depend on the circumstances and applicable legal requirements.
Automated systems
We may use automation to help route enquiries, send confirmations, reminders or follow-up communications. These administrative automations do not, by themselves, constitute decisions that produce significant legal or similarly significant effects on individuals. If we later introduce automated profiling or decision-making that materially affects customers, this Privacy Policy will be updated accordingly.
Withdrawing consent or objecting
Where we rely on your consent, you can withdraw that consent at any time. For marketing communications, you can use an unsubscribe option provided in the message, reply where appropriate, or contact Westscapes directly. Withdrawing consent does not affect processing that was lawful before the withdrawal.
Making a Complaint
If you have concerns about how Westscapes handles your personal information, please contact us first so that we can try to resolve the issue. You also have the right to raise a complaint with the Data Protection Commission in Ireland.
